Project Planning Software
Project Planning Software includes scoping, planning various aspects of project management, Recording , Monitoring, Closure. All activities (scope, time, cost, quality, risk, communication, procurement, integration & closure) which need to be completed within the start and end of the project are included in this software. It is an exhaustive exercise of creating a project plan from start till closure.
Project Planning Software is wrongly understood as the software which can help in recording start and end dates and owners and that’s it. It is nowhere close to this.
Ideal expectation is that, the software should follow all the principals of project management life cycle and have these as features implemented in the software. It should also help in making them automated as and where needed and take it to the lowest level of detail.
Size of the software varies from provider to provider. If you are looking for a specific need of starting-up for project planning with a software, you may want to try some of the open source software’s listed on this website.
1. Planning various aspects of project management:
a. Initiation: As a good practice project manager should get involved at this stage of project creation. He should take over the project related activities and drive the below mentioned activities. The software should be able to map a project manager to a project and then allow him to drive the remaining activities to completion.
b. Scope management: Scoping is the very first step of project management, project planning software will include ability to record scope into the software. Scope will identify what the project is out to achieve. Once it is understood and concluded, it gets created as a single statement for the project. Project scope if recorded in the software and kept live till the end and formal closure of the project.
c. Time management: Creating, recording, assigning and then monitoring the tasks entered in the software is ‘most expected and core feature’ of project planning software. This part of the software is the most used area. This area will record daily activities which the project teams will execute for the project.
d. Cost management: All costs, envisaged, budgeted, spent, what is balance, when the next big expense is due, etc are all recorded in this software. Any deviation from the original plan of expense needs to be reported to the stakeholders. Project planning software should enable these features.
e. Quality management: Once project is initiated, quality parameters need to be recorded and maintained at the start of the project. Once this is done, work done by team members are recorded and measured against the set quality parameters.
f. Risk management: Risk items are recorded in the software and they are regularly reviewed for keeping under control. If any deviation occurs, the software can send automatic emails to stakeholders and inform them.
g. Communication management: Different stakeholders at different levels within the project organization will need different types of communications. These mappings are done in the planning software. As and when incidences trigger, communication is sent out to respective stakeholders. This can be automatically achieved without much effort in the software.
h. Procurement management: All procurements which need to be done for the project are recorded in the software, as and when the procurement needs to be initiated, it is done and recorded in the software. This is particularly useful for large organizations where multiple teams work on the same projects at the same time.
i. Integration management: Project integration is about getting all pieces of the project plan together in a central place and monitor them centrally. Project manager has to ensure the maximum amount of time is spent here and all pieces of the project come together. The software is useful here and enables project integration for the project team.
j. Project Closure: Once project is complete, it has to be formally closed and the project team has to be formally dismantled. This is done in the project closure step, all open points of the project are closed and lesson learnt and skills updated from the project are updated and kept for records.
